Job Description

A well-established San Francisco law firm is seeking an experienced Litigation Secretary to support attorneys in a busy civil litigation practice. This role requires a highly organized professional who can manage high-volume document production, court filings, calendaring, and litigation support in a deadline-driven environment.

The ideal candidate will have strong experience supporting multiple attorneys and the ability to prioritize tasks effectively while maintaining accuracy and attention to detail.


Key Responsibilities

  • Prepare, revise, and finalize legal documents including pleadings, motions, briefs, discovery, and correspondence
  • Handle California state and federal court filings, including e-filing (One Legal, PACER/ECF, File & Serve, etc.)
  • Maintain and manage attorney calendars, tracking deadlines, hearings, depositions, and court appearances
  • Coordinate depositions, court reporters, experts, and client meetings
  • Prepare and organize trial binders, exhibits, and case materials
  • Generate and update Tables of Contents (TOC) and Tables of Authorities (TOA)
  • Maintain and organize electronic and physical case files
  • Assist with discovery management, including organizing and tracking documents
  • Proofread and format documents for accuracy, consistency, and compliance with court rules
  • Communicate with clients, courts, opposing counsel, and vendors
  • Provide general administrative support including mail handling, expense reports, and document management

Qualifications

  • 3+ years of experience as a Litigation Secretary or Legal Assistant in civil litigation
  • Strong knowledge of California court procedures and filing requirements
  • Experience with state and federal e-filing systems
  • Advanced proficiency in Microsoft Word (formatting, TOC/TOA)
  • Familiarity with document management systems (iManage, NetDocuments, or similar)
  • Strong organizational skills and ability to manage multiple deadlines simultaneously
  • High attention to detail and accuracy
  • Strong written and verbal communication skills

Preferred Qualifications

  • Experience supporting civil litigation or insurance defense practices
  • Familiarity with docketing and calendaring systems
  • Experience coordinating trial preparation and complex case logistics
